1. MEETING LOCATION

The joint network meeting will be held in Beijing from 8 to 12 April 2018 at the following venue:

Please note that on 9-10 April (Monday and Tuesday), all participants are invited to the Ozone2Climate Technology Roadshow to be held at the China International Exhibition Center (new venue). Shuttles will be provided by the meeting organizer.

The K-CEP Twinning Workshop on Energy-Efficient Refrigeration and Air Conditioning is being organized back-to-back with the Joint Network Meeting on 11-12 April at the same hotel. A separate logistics note is being sent to the participants invited to that event.

2. VISA INFORMATION

Participants are expected to apply for their entry visas themselves and should not leave their countries before securing their visas. An invitation letter will be provided by the organizer to support your visa application.

3. HEALTH REQUIREMENTS

Please be reminded of the fact that you are responsible for your own travel and health insurance. There are no vaccination requirements to enter China. It is important, however, that participants ensure that their routine vaccinations against diseases such as hepatitis A and B, tetanus and polio are up to date. Beijing has many medical practitioners, and there are well-equipped major hospitals in the vicinity of the meeting venue.

4. ACCOMMODATION

The rooms for meeting participants are already reserved at the Xiyuan Hotel. If a participant would like to make his/her own bookings in another hotel, please let us know as soon as possible. All
participants should pay for their accommodations and other expenses incurred during their stay independently when you check out of the hotel. We prefer that all participants to stay in
the same hotel for easy interaction.

5. LOCAL CURRENCY AND PAYMENT FACILITIES

The currency of China is the Chinese Yuan. As of March 2018, US$ 1 was equivalent to ¥ 6.32. Foreign currency exchange for certain currencies is available in the hotel, airport and at most
banks. International credit cards such as Visa, Master and JCB are accepted at the Xiyuan hotel, but you may be requested to show your passport.

Tipping is not a custom in China.

6. OFFICIAL LANGUAGE

The official language of China (Mainland) is Mandarin. The network meeting will be conducted in English. For Ozone2Climate Technology Roundtable on 10 April (Tuesday), English/Chinese
simultaneous interpretation will be provided. During the meeting, please do not take simultaneous interpretation devices out of the conference rooms.

7. TRAVEL FROM AIRPORT TO HOTEL

UN Environment and FECO/MEP will arrange a shuttle bus to pick up participants from terminal 3 of the Beijing Capital International Airport to Xiyuan Hotel for 2-3 shifts on 7 April only. We will
meet participants at the exit for international flights at terminal 3 of the Beijing Capital International Airport. Detailed information will be sent to participants later. In this connection we request all participants to provide your arrival flight details on 7 April 2018.

Participants who will not take the shuttle bus, can take a taxi from Beijing Capital International Airport to the Xiyuan Hotel which is 33km and will take about one hour. The fare costs around 120 RMB (USD $19).

8. TRAVEL IN BEIJING

The Xiyuan Hotel is located at the intersection of Xicheng District and Haidian District. It is only 500 meters from the Beijing Zoo and 1 kilometers from Beijing Exhibition Center.

9. WEATHER , LOCAL TIME AND TELEPHONE CODES

There are large differences between day and night temperatures in April in Beijing. The daytime temperature can be around 17 degrees Celsius (63 degrees Fahrenheit), while at night it can drop
to 5 degrees Celsius (41 degrees Fahrenheit). During the day, a long-sleeved T-shirt or shirt and a light overcoat or windproof jacket will be more
than enough. Taking a coat for the evenings is recommended.

10. ELECTRICITY

The electrical power in China is 220 volts running at 50Hz. There are three types of plugs used in China – two flat pins (type A, the most common), two narrow round pins (type
C), or three-pronged angled pins (type I). You are strongly encouraged to carry your own electrical adapters for use with laptop computers and other electrical appliances, as we will not be
able to provide them. Adapters can be purchased from shops in the city selling electronic or electrical items.

11. ON-SITE REGISTRATION AND BADGES

Conference badges will be provided on site at the Xiyuan Hotel starting from 08:00 on Sunday, 8 April.
Badges must be worn for the duration of the meeting. Please note that for security reasons, name badges must be displayed in order to gain admission to the conference venue, as well as to the
meeting rooms.

12. MEETING DOCUMENTS AND OZONACTION MEETING PORTAL

The documentation for the meeting will be distributed via the OzonAction Meeting Portal www.ozonactionmeetings.org. This online 24/7 web-based service supports (1) pre-session
preparation including the circulation of logistics information, agendas, and meeting documents (2) in-session circulation of presentations delivered during the meeting, as well as

Please note that the system is web-based; the only requirement is a laptop that has a wireless capability to connect to the wi-fi network at the conference venue and a browser (e.g., Chrome,

13. OTHER MEETING DETAILS

There will be wireless internet access in the meeting room and throughout the hotel. Log-in details will be provided to participants at check-in.
There will be coffee & tea breaks during the meeting. All participants are cordially invited to a reception on the evening of 11 April.
For the Ozone2Climate Technology Roadshow and Roundtable to be held on 9-10 April (Monday and Tuesday), the commute from the Xiyuan Hotel to the China International Exhibition Center
(new venue) will be arranged by the meeting organizer. Shuttle buses pick-up time and location details will be provided in due time.

14. MEALS

Breakfast is included in the room rate, and lunch will be provided during the meeting. Participants are expected to cover the costs of their dinners while in Beijing. The Xiyuan Hotel has two main
restaurants and a cafeteria:

  • Chinese Restaurant (floor 2): The restaurant has 120 seats, mainly providing Shandong dishes and new Cantonese dishes.
  • Muslim Restaurant (floor 1): The restaurant has 80 seats, providing authentic halal dishes and food from Xinjiang region.
  • Cafeteria (lobby): With totally 150 seats, the cafeteria provides fresh coffee with rich varieties. It also offers abundant Chinese and Western buffet dinner and fast food.

15. DSA (only if applicable)

Participants whose travel is sponsored by UN Environment will be provided with a daily subsistence allowance (DSA) as per United Nations rules and regulations. In order to facilitate disbursement of
DSA, eligible participants are requested to submit copies of passport, boarding passes, arrival/departure immigration stamps and air tickets to the secretariat staff in the conference room.
DSA will be given through individual Valued Cash Card (VCC) which is a debit card. After we load money into the card, you will be able to get cash by using the card at the ATM or at the bank. You
can use the card to pay for hotel accommodation or other expenses as long as you have enough cash in the card, and such card is accepted by the hotel and the shops.
Any participants who are unable to stay for the duration of the meeting are requested to inform the Secretariat as soon as possible after arrival, so that the subsistence allowance can be adjusted
accordingly.
UN Environment will not be responsible for the following:
a) All expenses in the home country incidental to travel abroad, including expenditure for visa, medical examination, inoculations and other such miscellaneous items and internal travel to and
from the airport of arrival and departure in the home country;
b) Salary and related allowances for the participants during the period of the meeting;
c) Costs incurred by participants in respect of travel insurance, accident insurance, medical bills or hospitalization fees in connection with attending the meeting;
d) Compensation in the event of death or disability of participants in connection with attending the meeting;
e) Any loss of or damage to personal property of participants while attending the meeting or losses or damages claimed by third parties as a result of any negligence on the part of the participants;
f) Any other expenses of a personal nature, not directly related to the purpose of the meeting.
